The fair is the easy part

Most companies spend the whole budget on the stand and nothing on the two things that decide the outcome: who walks up to it, and what happens in the three weeks afterwards.

The problem

A company books a stand at Gulfood, Beautyworld, the Big 5 or a European sector fair. Space, build, flights, hotels and freight consume the budget. The team stands there for four days, has a lot of pleasant conversations, and comes home with a stack of business cards and a photograph of the stand.

Then the cards sit in a drawer. Two weeks later somebody sends a generic "great to meet you" email to all of them. Nothing converts, and the following year the fair is judged "not worth it" — when what was not worth it was the way it was run.

The arithmetic is unforgiving: the stand is usually the smallest part of the real cost, and it is the part that gets all the attention.

What we do instead

We treat the fair as three phases, and the one in the middle is the least important of them.

  • Before — target and book. We build the list of companies attending or exhibiting that actually fit your profile, identify who from each will be there, and secure scheduled meetings in your diary before you fly.
  • Before — equip. Catalogue, datasheet, price structure and sample plan produced for that audience and in its language, with the commercial answers a buyer will ask for already in them.
  • During — qualify, do not collect. A short qualification structure so the team records what matters — volume, channel, decision process, next step — instead of scanning badges.
  • After — the part that converts. A defined follow-up sequence starting within forty-eight hours, personalised from what was actually discussed, run to completion over the weeks it takes rather than abandoned after one email.

How a programme runs

  1. Choose the fair. If the decision is still open we will tell you honestly which fair your buyers actually attend, and when the answer is "none of them".
  2. Build the target list. Exhibitor and visitor data, plus our own research into who in that market fits your profile.
  3. Book meetings. Outreach in the market’s language, six to eight weeks out, with confirmations and a scheduled diary.
  4. Produce the materials. Catalogue, datasheets, leave-behind and stand graphics, with the commercial terms a buyer will ask about.
  5. Brief the team. A one-page qualification structure and a short brief on each booked meeting.
  6. Run the follow-up. Sequenced, personalised, completed — and reported on as pipeline rather than as cards collected.

Why the Gulf fairs are worth doing properly

The major Dubai and Gulf trade fairs concentrate an unusual number of regional distributors, importers and buying offices into a few days — buyers from across the Middle East, Africa and South Asia who would take months to reach individually.

That concentration is exactly why an unstructured stand wastes it. The people you most want to meet have a full diary before they arrive.

Frequently asked questions

Can you help if we are visiting rather than exhibiting?

Yes, and it is often the better value. Without a stand the entire budget goes into targeting, booked meetings and follow-up, which is where the return actually comes from. Many first entries into a region are best done this way.

How far in advance do we need to start?

Six to eight weeks for meeting booking is comfortable; less is possible but the good diaries fill early. Material production needs its own lead time on top, so three months out is a better place to begin.

Do you attend the fair with us?

Where it is useful and agreed in the scope, yes — particularly where a conversation needs a language your team does not cover. Most programmes work without it.

Will you tell us if a fair is not worth attending?

Yes. Working out that your buyers do not attend a particular fair is a cheap finding compared with discovering it from a stand.
